This release introduces new scheduling tools and funding management enhancements — including easier appointment changes, right-click unscheduling, appointment cloning, improved availability matching, and enhanced funding period tracking for NDIS PACE Service Agreements.
Changes include:
- quickly change appointment times from the calendar
- easily unschedule rostered appointments
- easily manage and clone appointment series
- improved accuracy for “Appt. w/o Case Note” metric
- improved availability matching on waitlist and enquiries
- funding period tracking for NDIS PACE Service Agreements
The release also includes several bug fixes and other changes.
Quickly Change Appointment Times from the Calendar
You can now right-click any rostered or draft appointment in the calendar to quickly change its time — no need to open the full record.
When updating a recurring series, you can choose to:
- Apply the change to just the current appointment
- Apply it to multiple upcoming appointments in the series
The system automatically checks for worker and asset conflicts, giving you the option to skip any conflicted appointments and handle them separately.
This same feature is also available directly from an Appointment record via the new Change Date/Time button — replacing the previous Edit option for appointment Start and End time changes.
💡 What this means for you: Appointment times can now be adjusted in seconds, with built-in validation to prevent conflicts and ensure accuracy.
Easily Unschedule Rostered Appointments
You can now right-click a rostered appointment from any calendar view to quickly send it back to Draft status.
This makes it faster and easier to unschedule work without needing to open the full appointment record.
💡 What this means for you: Save time when rescheduling or unassigning workers — perfect for managing last-minute changes.
Easily Manage and Clone Appointment Series
We’ve introduced a new feature to make updating appointment series simpler and more flexible.
You can now use the Clone Appointment option on an appointment to:
- Clone Appointment – Create a new appointment or appointment series with the same details as the original.
- End Series and Clone Appointment – End the current appointment series and create a new one with the same details, or delete a set number of upcoming appointments before starting the new series.
This is especially useful for clients who schedule appointments in draft and need to make adjustments to a series without rebuilding it from scratch.
ℹ️ Note: This new feature replaces the previous “End and Create New Series” button.

Improved Accuracy for “Appt. w/o Case Note” Metric
We’ve enhanced the My Day View to improve how the APPT. W/O CASE NOTE tile is calculated.
Previously, this metric was based solely on the created user of a Case Note. It will now consider both the Created By and Owner fields.
This means if another user creates a Case Note but assigns ownership to the worker for the appointment, the metric will correctly recognise it — providing a more accurate reflection of outstanding Case Notes for each worker.
Improved Availability Matching on Waitlist and Enquiries
We’ve enhanced the Availability Matching tool used on Waitlist and Enquiry records to deliver more accurate and efficient results.
- Fixed availability overlap issue – Workers with overlapping unavailability will no longer appear as available when filters are applied.
- Smarter clinic filtering – The preferred clinic from the Waitlist or Enquiry record now automatically feeds into the Availability Matching tool.
💡 What this means for you: Faster and more accurate matching when finding suitable workers or clinics for client needs.
Funding Period Tracking for NDIS PACE Service Agreements
A range of new tools have been introduced to help providers track Funding Periods for NDIS PACE Service Agreements.
- Record the client’s NDIS Plan Start Date when creating PACE agreements, if this differs from the agreement start date.
- Specify a Funding Period Length of 1, 3, 6 or 12 months for each category, aligned with the client’s NDIS plan.
- Funding Period records are automatically created, updated and recalculated as categories or dates change.
- View detailed tracking data directly from agreements and categories, including committed, delivered and unspent amounts.
- Batch processing now updates Funding Period totals overnight, with manual update options available from agreements.
- Two new report types make it easier to analyse funding data:
- Clients with Funding Periods
- Service Agreements with Funding Periods
💡 What this means for you: Stronger budget visibility, automatic recalculation of funding allocations, and better insight into how clients’ NDIS plans are tracking.
These changes make it easier for providers to manage, track, and report on funding allocations throughout the life of an agreement. Check out our article about Managing Funding Periods on an allied health service agreement.
You can update your Service Agreement templates to include Funding Period information, we have provided the following to guide you: this Word Document Template of an appendix example, along with the below Formstack Mapping queries to support the template addition.

Bug Fixes and Other Changes
The following fixes and improvements are also included in this release:
- Service Agreement Creation Error Fixed for Large Data Volumes – Resolved an issue that caused an error when creating Service Agreements in environments with more than 50,000 client plan records.
- Cancellation Service Delivered (SD) Records – Fixed issues where the Adhoc flag failed to populate and negotiated rates were bypassed during cancellations.
- Case Note Audit Records – Improved logic so audit records only generate once a Case Note is marked as Completed, reducing unnecessary entries and improving data accuracy.
- Agreed Service Goals – Inactive Categories Hidden – Fixed a bug causing inactive goal categories to appear in selection lists. Only active categories will now display.
- Agreed Service Goals – Recording Date Achieved – When updating the status of an Agreed Service Goal to "Achieved" using the Update Status action, users will now see a mandatory Date Achieved field.
- Transport Service Delivered (SD) Records - fixed issues where SDs were not generating when completing appointments with transport included on them.
