Lumary AH - The Lumary AH 12.3 release includes improvements for alerts, case notes, credit noting, DEX reporting, appointment billing, cancellations and more.

This release includes improvements for alerts, case notes, credit noting, DEX reporting, appointment billing, cancellations and more.
Changes include:
- create custom Alerts with no existing alerts
- Case Notes now only show active Goals
- we've streamlined the Credit Note SD modification process
- DEX changes to support CHSP reporting changes
- automated population of LGA Region on Enquiries, Contacts and Sites
- appointment billing automation – introducing enhanced granularity
- improved Service Type visibility when adding billing to Case Notes, and
- appointment cancellation improvements.
The release also includes several bug fixes and other changes.
Create custom Alerts with no existing alerts
You can now create a Custom Alert on a client record even if no alerts currently exist. This enhancement ensures that users are no longer limited by the presence of previous alerts, providing more flexibility to communicate important information from the outset of a client’s record.
Case Notes now only show active Goals
We’ve updated the goal selection list when creating or editing a case note. Now, only goals that are In Progress or Not Started will be available for selection, and only if they belong to a goal attainment plan that is considered active.
A goal attainment plan is considered active when:
- The Days Remaining field has a value greater than 0, or
- The Days Remaining field is blank due to no end date being recorded.
This change helps ensure that only relevant, current goals are linked to case notes, reducing confusion and improving clinical documentation accuracy.
We've streamlined the Credit Note SD modification process
For customers using Lumary’s AR Management feature, we've streamlined the handling of Service Delivered (SD) records when generating Credit Notes.
Finance officers can now choose to either:
- Credit the SD, which restores the funding to the client's related service agreement, or
- Unlink the SD from its associated financial extract, allowing it to be re-extracted if needed.
This improvement removes the need to manually navigate to each SD record, saving valuable time and simplifying the crediting process for finance teams.

DEX changes to support CHSP reporting changes,
For DEX Extract changes we are:
- Supporting DEX Outlet Activity IDs for Site Service/Programs in order to report within the new structure, and
- Generating a distinct Case ID for each Node in the DEX Extract for each Outlet Activity Lumary will now concatenate the Case Id and the Outlet Activity ID. (e.g. FSCC-000100_12345 or SAI-00003547_12345).
Please ensure you have realigned CHSP Sites, Services, and Rates in Lumary AH to reflect the updated CHSP Service List. You should have received communications and Help Center tickets with instructions and guidance if this is applicable to you.
Automated population of LGA Region on Enquiries, Contacts and Sites
Following our recent update to the Localities reference data, we’ve introduced automation to streamline how LGA Region data is applied.
When creating or updating Sites, Enquiries, or Contacts, the system will now automatically attempt to match the suburb and postcode to the Localities reference data. If a match is found, the LGA Region field will be populated based on the region defined in the matching locality record.
This enhancement supports more accurate and efficient regional reporting by reducing the need for manual data entry.
Note: This automation is dependent on your Localities reference data being up to date and populated with your required Region designations.
Appointment billing automation – introducing enhanced granularity
In response to customer feedback on the Potential Billable Services feature and its automation for adding Planned Services during appointment creation, we’ve introduced greater flexibility and control.
You can now define a Service Type on each Potential Billable Service. During appointment creation, the system will use this Service Type to match against the Service Type selected on the appointment, enabling a more precise match.
This enhancement reduces the need for managing a large number of appointment types and allows for a more tailored and efficient billing setup using a simplified and more granular Potential Billable Service matrix.

Improved Service Type visibility when adding billing to Case Notes
To make it easier for clinicians to select the correct Service Agreement Item when adding billing to a case note, we’ve updated the dropdown list of services. Now, the Service Type defined on each Service Agreement Item is displayed at the start of each dropdown option, helping users more quickly identify and select the right item.
Appointment cancellation improvements
We've enhanced how cancellation billing is handled for client appointments:
- Multiple Services Per Client: Cancellation billing now supports appointments where multiple services are linked to a single client. Previously, only the first service was billed. Now, Service Delivered records will be generated for all eligible services on the appointment.
- Allow Cancellation Setting: To ensure only valid services are billed, cancellation billing will only occur if the related Service has the “Allow Cancellation” setting enabled. We recommend reviewing your private (non-NDIS) services to confirm this setting is configured appropriately.
- No-Show Enhancements: For no-show cancellations, we’ve also improved support to ensure both Travel To and Travel From entries are captured accurately when recording a cancellation due to no-show.
Bug Fixes and Other Changes
The following bug fixes and changes are also included in this release:
- NDIS Extract Invoices Generated Without Claim Status - We’ve resolved a bug that allowed invoices to be generated from the NDIS extract for claims that did not have a Claim Status set. With this fix, only claims with a “Success” claim status will generate invoices.
- Mobile Travel Distance Error - We have fixed an issue that prevented mobile experience users from capturing their travel.
- Mobile Travel From only not Generating Billing - We have fixed an issue where if only From Appointment Travel was captured during the Appointment Completion Wizard it would not generate any travel billing.
- Travel From Expense Rounding - We’ve fixed an issue in the Complete Appointment wizard where the From Travel expense was being incorrectly rounded to the nearest dollar. Now, the full decimal value entered will be preserved and accurately recorded, ensuring more precise travel expense tracking.
- Calendar View Glitch - We’ve resolved an issue affecting some clinician calendars where, upon initial load, unavailability for other clinicians was incorrectly displayed. This was caused by a loading sequence error, which has now been corrected. Clinician calendars will now accurately display only relevant availability and unavailability.
- Bank Statement Payment Duplication - We’ve fixed an issue where clicking the Statement Finalisation button multiple times could trigger the payment generation batch repeatedly, resulting in duplicate payments on related invoices. This has now been resolved to ensure the batch only runs once per finalisation, preventing unintended duplicates.
- Bank Statement Manual Match Duplication - We’ve resolved an issue that caused duplicate invoice match records to be created when the Save Matches button was clicked multiple times during manual matching.
- New Case Note Incorrectly Created - We’ve resolved an issue affecting customers who had not opted into the Auto-Saving feature. Previously, when updating a Draft Case Note, a new note was incorrectly created instead of updating the existing draft.
- Appointment Wizard Glitch When 'Other' Location Chosen - We’ve fixed an issue that occurred when creating an appointment from the client’s calendar using the ‘Other’ location type. Previously, this caused the Appointment Wizard to hang and fail to create the appointment.
- Appointment Wizard Glitch When 'Home' Location Chosen - We've fixed an issue where the appointment was able to be saved when a client had no address and the 'Home' location was chosen on the appointment, leading to no address be recorded on the appointment.
- Service Type Remaining Hours - We’ve resolved an issue affecting the calculation of remaining hours by Service Type on the Client Case List and Client Dashboard. For customers using GST inclusive rates, the remaining hours were previously being calculated incorrectly. The system now correctly accounts for GST, providing an accurate reflection of remaining service hours.
- Add Worker Appointment Save Button Not Responding - We’ve fixed an issue that occurred when adding a worker to an existing appointment. Previously, if the worker was unavailable at the appointment time, clicking the Save button would not trigger any response, leaving users unsure why the action failed. Now, instead of the button appearing unresponsive, users will see a validation message clearly indicating that the selected worker is unavailable for the appointment time.
- Clinical Assessment Status Badges Now Displaying Correctly - We’ve fixed an issue where status badges were not appearing on the Clinical Assessment related list.
